Referral and intake of patients
Our intake process ensures correct assessment of your needs prior to any appointments. It ensures you are provided the most suitable service providers for your particular needs.
As a specialist clinic, all prospective patients require a referral to see one of our specialists. Referrals may be forwarded to The Village Family Mental Health Specialists by post, fax or email. Please return to our homepage for more information. We accept referrals from General Practitioners, Medical Specialists and Allied Health Professionals.
Once received, our administrative staff will work with our team of specialists to find a suitable clinican however if the most suitable clinician does not have capacity we may provide an alternative recommendation to a more suitable service or service provider. Once a referral is accepted one of our friendly team of administrative staff will contact you to make initial appointments and provide information for ongoing treatment where applicable.
Please allow a minimum of 10 working days for an outcome.
PAYMENTS
The Village Clinic is a fee-for-service clinic. Payment of full fees is required at the end of a consultation, and our friendly administrative staff will process your Medicare rebate using Easyclaim to enable a fast refund. Payments are expected on the day of appointment during office hours of Monday to Friday 9am-5pm. For after hours consultations, payment is appreciated within 24 hours of appointment.
The Village Clinic uses a secure online portal for payments of teleheath consultations. You may opt to store your details at any time to ensure a seamless experience.

Psychiatric outpatient care is a service which is eligible for Medicare Safety Net. This means once your combined out of pocket expenses or gap payments (i.e. the difference between what you pay and the Medicare rebate) have reached a threshold as a family, Medicare will pay 85% of your out of pocket expenses for the remaining calendar year. This combined out of pocket expense includes psychiatric care, as well as other medical/health services. The Medicare Safety Net threshold is different for individual families. Appointment reminders are sent 7 - 10 days prior to appointments for your convenience. We ask that any cancellations or rescheduling is arranged with 2 working days notice (excluding weekends, public holidays and advertised clinic closures) This notice period is vital to ensure patients on our waiting list are provided an opportunity for treatment. Cancellations and rescheduling requests that do not honour this timeframe may incur a cancellation/late rescheduling fee. Missed appointments will also be subject to a Failed to Attend fee.
The Village Clinic is a multidisciplinary team, offering a variety of services to promote mental health in the community. A variety of appointments are available based on the service required, treating clinician and the type of referral received. See more information on our Intake Process
All new patients are requested to complete Financial Consent forms outlining treating clinician's fees and is provided by our admin team upon completing our intake process.
Appointments cannot be created for new patients without completing our Intake Process.
